1. Login
To Login, you must have a current password. If you have forgotten your password, contact Disappearing Inc at 1-800-877-mail or send an email to password@disappearing.com.
2. Password
Passwords must be six and eight characters long and should have a combination of upper and lower case and include a number character. Avoid the obvious.
To change passwords, you must complete the login windows without hitting enter, then use the Change Password windows on the same page to alter your existing password. Type in the new password and repeat it exactly in the box provided.
3. Manage Accounts
This screen is used to send the Disappearing EMail; software to new users. Just enter the new email address(es) and click Okay. The recipient will receive a short note telling them how to install and use the Disappearing EMail messaging system..
4. Creation Policy Rules – In Brief
The following rules apply to each user covered by this policy:
Handling of Messages to Mixed Recipients
When a user sends a new message to both a Disappearing Email (DE) user and a non-DE user, we say he is sending the message to mixed-recipients. In such circumstances, we must choose one of the following behaviors:
A. Send a plain email to all of the recipients. This means that no one needs to read the email through the message-viewing web page, but it also means that the message will not be Universally Deletable.
B. Send a Disappearing Email message to all of the recipients. Non-DE recipients will need to read the message through the message-viewing web page, but the message will be Universally Deletable.
5. Key Deletion
This option allows users to rendered a message unreadable immediately or prevents them from doing so. Set to Delete On Request to allow users to render a message unreadable immediately. Set to Leave Readable to keep messages until they reach their original unreadable time.
User Help File
This setting allows the company administrator to choose a company-created help file to guide employees in choosing their Disappearing EMail™ options.
Keyserver
This setting determines which key server company email will use to encrypt and decrypt messages. In case of a server change or in the rare case of a server failure, this setting can be altered according to instructions from Disappearing, Inc.
Server Port
This setting determines which key server port company email will use to access the key server. In case of an error message or other failure, this setting can be altered according to instructions from Disappearing Inc. In addition your company may be assigned multiple ports for convenience.
Policy Refresh
This setting determines how often users’ individual PCs will be updated with new settings from the Disappearing EMail Administrator ™.
Refresh at Start Up
This setting determines whether or not users’ PCs will automatically check with the Disappearing EMail Administrator™ for new settings upon being turned on.
Expiration period
This option allows users to choose how long they wish a protected message to be readable.
6. Default Settings
When one or more recipients does not have the Disappearing EMail software.
When a message is addressed to multiple recipients, at least one of whom has Disappearing EMail software and one who does not have Disappearing EMail software, the Default Administrator has two basic choices.
A. All messages to go out as Disappearing EMail, thus ensuring all copies will be deleted when the key expires, or,
B. All messages go out unprotected, ensuring those who do not have Disappearing EMail software will not have to open a browser page to read the message.
If the Send Default button is set to Use Disappearing EMail, all messages will go out protected and those users without Disappearing Email software will have to click an icon to open a web page in order to read the message. All copies of the message will become unreadable at the preset time.
If the Send Default button is set to Don’t Use Disappearing EMail, no one will have to open a web page, but the message will remain on PCs, servers and backup tapes.
The If Conflict Send buttons resolve which policy will be used if the user is sending a message to Disappearing EMail users and non-users while under two or more Creation policies policies. For instance, if the entire Engineering Department is under a Creation policy requiring all mail to go out as Disappearing EMail, and all administrative assistants are under a Creation policy requiring all messages to go out not as Disappearing EMail, this setting determines whether an administrative assistant in the Engineering department, covered by BOTH policies will automatically send messages to everyone as a Disappearing Email message, or not.
Clicking the Not a Disappearing EMail message button will ensure that all the administrative assistant’s messages will go out unprotected, thus readable without a browser window, and will remain on PC hard drives, servers and back up tapes.
Clicking the Disappearing Email button will ensure that all the administrative assistant’s messages will go out as Disappearing Email, thus requiring those without Disappearing EMail software to open a browser window, but ensuring the message will be rendered unreadable at the end of its pre-programmed expiration period.
Client Override
The Client Override buttons decide whether or not the user can override the Administrator’s settings. Assume the admin assistant’s current default settings normally require mixed-recipient messages to all go out protected.
When the Client Override Allow button is clicked, the admin assistant can go to the Outlook user tool, (Tools, Options, Disappearing EMail™) and change their settings to Do Not Send as a Disappearing Email message. If the Ignore Setting is clicked, the admin will only be able to send Disappearing EMail messages.
If Conflict Use
Since the Administrative Assistant is covered under two policies, the Engineering Depart ment and the Administrative Assistant Policies, the If Conflict Use button is the ultimate override determinant. If, under the Engineering policy the Client Override Allow button is checked, but under the Administrative Assistant policy the Ignore Setting is checked, setting the If Conflict Use button to Client Setting, will allow the admin to send the message unprotected as desired.
The If Conflict Use alternative, the Default button, refers back to the first selection option in the If One or More Recipients Does not have Disappearing Email Software category Send Default (see above).
If company policy is to send all mixed-recipient messages protected under all circumstances use the following settings: Disappearing EMail message, Disappearing EMail message, Ignore Setting, Default.
If company policy is to let some users choose to send some messages unprotected, but to start with everything protected, use the following settings:
Disappearing EMail message, Disappearing EMail message, Allow, Client Setting.
Default Expiration
The Default Expiration sets the company standard for destroying keys to messages sent protected by Disappearing EMail. Select the maximum length of time you want keys to exist.
Key Expiration
This setting determines how long messages created under this policy will be readable.
User-Specified Key Deletion
The rules determines whether or not users listed in this policy will be allowed to choose how long their messages will last. Click User Enable to allow end users to choose how long a message lasts. Click User Disable to ensure all Disappearing EMail messages are Universally Deleted™ according to the period set in the Key Expiration rule.
Deletion Requests
Instantly Unreadable
The Company Administrator can allow users to immediately make a message unreadable.
To enable that function, click Enable. To disable this function, which will require all messages to last their original lifetime, click Do Not Allow.
If Conflict Expire
If a message is covered under two or more policies, this button is used to determine if the message will be rendered unreadable at the earlier or later date set under those policies.
Client Override
This setting gives or withholds from the client the option to choose a later or earlier setting. Click Allow to allow the client to choose when the message is rendered unreadable. Click Ignore Setting to leave the default setting of Earlier or Later set under the If Conflict Expire option.
If Conflict Use
The If Conflict Use setting comes in to play when a user is covered under two or more policies. If the policies conflict, say one has a 60-day deletion and one has a 45-day deletion, clicking Client Setting allows the user to choose when the message is rendered unreadable. Clicking Default will cause the message to be rendered unreadable at the setting chosen under Default Expiration
7. Arbitration Rules
This policy screen decides how the sender (creator) can send email. As the Administrator, you can allow users under different Creation Policy different options. For example, you may wish to create and Executive Policy allowing top executives to turn off DE when they wish to, while a General Policy, where most workers will reside, can require those listed to use DE all the time. Other options include:
The rules below determine what should be done when no policy applies or when 2 or more conflicting policies apply.
The default rule. This specifies what happens when no policy covers this behavior.
The arbitration rule over the main rule. This specifies what happens when policies conflict and there is no user specified behavior.
The allowing override rule. This specifies whether the user specified rule is used when there are no policies or the policies agree over usage of the user specified behavior.
The arbitration rule over the allowing override rule. This specifies whether the user specified rule is used when policies disagree over usage of the user specified behavior.
Mixed RecipientsRules
Handling of Messages to Mixed Recipients
When a user sends a new message to both a Disappearing Email (DE) user and a non-DE user, we say he is sending the message to mixed-recipients. In such circumstances, we must choose one of the following behaviors:
- Send a plain email to all of the recipients. This means that no one needs to read the email through the message-viewing web page, but it also means that the message will not be Universally Deletable.
- Send a Disappearing Email message to all of the recipients. Non-DE recipients will need to read the message through the message-viewing web page, but the message will be Universally Deletable.
- Send a Disappearing Email message to the DE recipients and a plain email to the non-DE recipients. This will minimize the number of non-deletable copies while not forcing any recipients to read the message through the message-viewing web page. Unfortunately, it will also cause the conversation to fork. If a non-DE recipient tries to reply to all recipients, the DE recipients will not be included. Similarly, if a DE recipient tries to reply to all recipients, the non-DE recipients will not be included.

Mixed Recipient Mail: Disappearing Email that is sent to more than one mailbox, and at least one of the mailboxes does not have Disappearing Email
Policy: the group of rules governing each user’s Disappearing Email settings and choices
Universal Delete, Universally Delete: What happens protected mail reaches its expiration date.
Disappearing EMail Server: the server on which the keys for Disappearing EMail reside (prior to expiration).
Protected Email: Email sent using Disappearing Email.
Unprotected Email Email sent not using Disappearing EMail.
